The 20th Anniversary IEEE International Conference Application of Information and Communication Technologies 14-16 Oct 2026 | Baku, Azerbaijan

AICT2026 VIRTUAL PRESENTATION GUIDELINES:

All authors of accepted and registered papers for AICT2026 are required to present their papers during the conference days, in person or online (by agreement with the organizers), according to the conference program. Online presentations take place on Microsoft Teams.

The online talks of AICT2026 are gathered in dedicated online sessions at the end of each paper day, on 15 and 16 October 2026. They are run from a room at ADA University, Baku, set up for video conferencing, with technical staff and a session chair who brings in questions from the room and from the online audience. All times are Baku time (GMT+4). Your session and your time slot are given in the program and in our e-mail to you.

TIME LIMITS OF PRESENTATION

Each paper has 15 minutes: please plan a talk of about 12 minutes, leaving about 3 minutes for questions and answers. Please stay connected for the whole of your session.

LIVE TALK OR PRE-RECORDED VIDEO

  • A live talk is preferred if your internet connection is reliable: you share your slides in the Teams meeting and present them yourself;
  • Otherwise you may present with a pre-recorded video of your talk (about 12 minutes), which we will play in the session. In that case, please stay connected throughout the session, as the questions and answers after your video are held live with you;
  • A recording is also a good backup in case the connection fails during a live talk.

THE TEAMS LINK

  • We will send you the Microsoft Teams meeting link by e-mail before the conference;
  • Please join 15 minutes before your session starts for a short connection test with our technical staff.

JOINING THE TEAMS MEETING

  • You do not need a Teams account, and you do not need to install the Teams app;
  • Open the meeting link from our e-mail. When prompted, select Continue on this browser (Microsoft Edge or Google Chrome) or Join on the Teams app;
  • Type your name, allow the browser to use your microphone and camera, and select Join now;
  • If you are placed in the meeting lobby, please wait: our staff will admit you;
  • Depending on the meeting settings, you may be asked for your e-mail address and a one-time code sent to it;
  • Please present from a computer (Windows or macOS) with a webcam and, preferably, a headset. Teams on the web is not supported in mobile browsers, and on Linux Teams cannot share content: if you use Linux, please present with a pre-recorded video.

BEFORE THE SESSION: TEST YOUR AUDIO AND VIDEO

  • On the screen shown before you join, you can turn your camera and microphone on and check them; under Audio settings you can choose your microphone and speaker;
  • In the Teams desktop app you can also make a test call: Settings > Devices, then Make a test call;
  • On macOS, Teams (or, on the web, your browser) needs permission to share your screen: in System Settings, under Screen & System Audio Recording, make sure Microsoft Teams (or your browser) is turned on;
  • Please test sharing your slides before the conference, and silence notifications on your computer during your talk.

WHILE PRESENTING REMOTELY

  • Your presentation will take place in accordance with the conference program, the same as an in-person talk;
  • Each talk is comprised of a presentation and a subsequent Q&A session moderated by the session chair;
  • If you are presenting live, open your slides and select Share in the meeting controls, then choose your screen or the window with your slides;
  • If your talk includes a video with sound: in the Teams app, turn on Include sound before you start sharing; in Teams on the web, turn on Also share tab audio (for a browser tab) or Also share system audio (for a window or the whole screen). On a Mac, sharing computer sound needs the latest Teams audio driver (see the link below);
  • Please note that with computer sound included, all audio from your computer, including notifications, is heard in the meeting;
  • Authors presenting with a pre-recorded video need to be available online after their videos are played to answer questions from the audience.

HOW TO PRE-RECORD A PRESENTATION

REQUIREMENTS TO VIDEO FILES

  • Duration: about 12 minutes, at most 12 minutes;
  • Video File Format: MPEG-4 (.mp4); please do not send PowerPoint or PDF files instead of a video;
  • Audio Quality: please double check your file before sending it to make sure the audio is clear and audible;
  • Video Content: the video must include the title of the paper, the authors, and a mention of AICT2026.

HOW AND WHEN TO SEND THE VIDEO FILE?

Video files are large, so please do not send them by e-mail. We are preparing a personal upload folder for each paper; its link, the instructions and the date by which to upload will be sent to you by e-mail. Until then there is nothing to send. If you present live, you are welcome to upload a backup video as well.
